In this post, I’ll show you how to set it up, the prompts that make AI handle the heavy lifting, and why this one automation can save you hours every week.

Why You Need to Automate Lead Tracking

Leads on social move fast. Someone replies to a Story, reacts to a post, or drops a quick “I’m interested”, and if you don’t follow up quickly, they vanish.

Here’s what usually happens:
❌ You screenshot their username.
❌ Tell yourself you’ll add it to your CRM later.

That’s not lost engagement, it’s lost income.

An automated system makes sure every lead gets captured, labelled, and ready for follow-up, even if you’re offline.

Step 1: What You’ll Need

You only need three tools to make this magic happen:

Here’s what to ask it:

AI will respond like this:

Step 4: Log the Data Into Your CRM

Next, tell Zapier where to store your clean data.

  • Notion / Airtable: “Create new record in Leads table.”

You can even have Zapier time-stamp each lead so you know when the enquiry arrived.

Step 5: Optional - Notify Yourself

Add a final step so you don’t miss hot leads.

Examples:

  • Send yourself a Slack or email alert when a high-intent lead comes in.

  • Push a notification to your phone via Zapier.

Prompt example for your AI step:

“If lead intent = ‘high’, include an alert message: ‘New warm lead on Instagram, check DMs now.’”

Now, you’ll never miss an opportunity, even when you’re away from your laptop.

Step 6: Build a “Weekend Summary” Automation

Here’s where AI really earns its keep.

Every Friday, Zapier can automatically collect all your week’s leads and ask AI to summarise them.

Prompt Example:

You’ll get a message like this:

Weekly Summary:

  • Suggested content:

Step 7: Keep It GDPR-Friendly

If you’re in the UK or EU, remember: automation doesn’t remove responsibility.

✅ Add a simple consent disclaimer on your forms (e.g., “We’ll contact you about this offer”).
✅ Avoid storing sensitive data like payment info.
✅ Delete unqualified leads after a set period (AI can flag these for you automatically).

Step 10: Bonus - Automate From Comments Too

Did someone comment “interested” or “need this” on your post?
That’s a lead too.

Zapier can track comment keywords on Facebook, LinkedIn, or Instagram (via third-party tools) and send them straight into the same AI workflow.

Prompt Example:

“When a comment includes the words ‘interested’, ‘price’, or ‘info’, capture username, comment, and post link. Send to ChatGPT to extract context and store in my CRM with source = comment.”
